POSITION TITLE
Executive Assistant to Chief Information Officer

POSITION LOCATION
This position is available to Virginia residents as Richmond, VA in-office/hybrid applicants

YOUR ROLE
In this role, you will provide executive administrative support to the Chief Information Officer (CIO) and their team. The ideal candidate will exhibit a high level of professionalism and integrity, with an emphasis on confidentiality, as well as superb communication skills, the ability to manage multiple priorities and attention to detail.
 

What you will be doing
• Professionally manage incoming requests for CIO from internal and external customers
• Maintain calendar of CIO and coordinate/manage calendars and scheduling for their teams
• Enhance productivity for senior leaders’ staff by organizing schedule and pre-read materials for key meetings
• Assist in preparation for Board Meetings and with other third parties to include assistance with PowerPoint presentations and other documentation in compliance with business requirements
• Coordinate meetings and events; schedule and manage logistics for meetings, offsite events, and other activities
• Identify and implement operational process improvements for senior leaders and their respective teams for efficiency and effectiveness
• Set-up and manage Purchase Requisitions & POs, pay subscriptions/memberships (e.g., professional dues) and other administrative process-related items
• Manage expense reports for team in compliance with organizational policies
• Coordinate and schedule travel arrangements including airfare, hotel, etc.
• Assist with IT and technology set-up and tickets, organize and maintain departmental records and documentation and manage office supplies
• Work closely with other Administrative Assistants, providing back-up and/or support on phone and meeting coverage and other daily activities
• Exhibit superior customer service by responding to emails and voicemails promptly and comprehensively
• Participate in department staff meetings
• Complete other special projects and assignments as requested
• Organize and maintain departmental records and documentation
• Assist with projects as needed
• Assist with onboarding new associates/contractors
• Assist with team administrative and project tracking/management

What you bring
• High School Diploma
• Minimum of 5-7 years senior level administration experience in a fast-paced corporate setting
• Exceptional communication skills, confidence and professional presence with a strong and proactive approach to written and verbal communications
• Ability to effectively process large amounts of information daily, spot important topics, make connections between disparate items, and filter information with keen judgment of relevancy and urgency, often providing high level summaries of critical information to executive
• Demonstrated high level of integrity and able to ensure security of confidential information and utilize appropriate discretion
• Exceptional time management, organizational and prioritization skills with an emphasis on follow-through and attention to detail
• Ability to manage conflicts that may arise with both internal and external customers through a developed understanding of the executive’s priorities and approach to resolution
• Strong skills in PowerPoint, Excel, Word, Outlook, Teams, and other Microsoft Office programs
• Ability to be extremely adaptable and flexible in a changing environment while being open to continual learning
• Strong interpersonal skills with the ability to work independently and be a team player
• Proactive, proven good judgment and creative problem-solving skills
• Ability to help develop and execute an Employee Engagement plan within the business unit such as town halls, department wide meetings, etc.

• Willing to travel as needed in support of the executive and his team
